Role: Donor Finance and Administration Officer

Reports to: Finance and Operations Director

Position type:  Part / full time (35 to 40 Hours per week pro rata). Permanent.

Location: cbm New Zealand Office: 112B Bush Rd, Albany,  Auckland, with Hybrid WFH arrangements.

The Role

The Donor Finance and Administration Officer is part of the Business Support Team and is responsible for all aspects of donor related finance transactions and donor related administration tasks as well as providing support to the Donor Relations Team.

Key Responsibilities

1. Donation Processing 

The accurate and timely processing of all donations received by cbm New Zealand.

  • Processing mail, including collection from PO box, opening and sorting 
  • Accurate and timely processing, recording and reporting of all donations into Raisers Edge (RE-NXT), our CRM system including importing donations made directly to our bank account, through a third party service provider or the cbm website 
  • Preparation of Banking and depositing funds at bank
  • Reporting to Management
  • Back-up to processing of telephone donations as required
  • Assist in the preparation of data for receipt process

2. Donor Record Maintenance 

Assisting donor care team to ensure all donor records in the CRM database, Raiser’s Edge (RE-NXT) are maintained to a high degree of accuracy.

  • Keep donor records up to date
  • Ensure donor correspondence and communications relating to donations made are correctly recorded
  • Set-up payments for new donors with third party service providers

3. Management of Regular Gift donations

Effective and efficient management of the administration of Regular Gifts 

  • Review, maintain and follow-up processes on Regular Gifts and Regular Gift donors
  • Set-up and make changes to Regular Gifts in RE-NXT and third party platforms
  • Follow up on all failed Regular Gifts
  • Follow up on all queries on failed payments regarding Regular Gifts
  • Regular reporting to management around donation income results and comparisons, changes to Regular Gifts and upgrades, prepare month end RE-NXT reports

4. Donor Administration

Perform all aspects of donor administration regarding donations made. 

  • Respond to donor queries by phone, email and post
  • Ensure correct filing of all Donor related documentation
  • Record gift related inward and outward Donor correspondence in RE-NXT
  • Ensure timely follow-up on any outstanding Donor queries
  • Ensure Donor receipts are correctly worded and sent in a timely manner
  • Assist with wording of gift-related donor communications when required

5. Donor Relations Support

Offer excellent support to the donors of cbm New Zealand in relation to their donations, methods of giving and updating of payment details.

6. Ad-hoc Support to other staff

As required support to other staff.

  • Prepare ad-hoc reports as required for other staff
  • Assist with office operational tasks to ensure the smooth running of the office
  • Other relevant tasks as requested by the Finance and Operations Director or CEO

Key competencies required

Qualifications / Knowledge / Skills & Experience:

  • Experience in an accounts role
  • Strong database administration skills, preferably with experience in CRM systems
  • Proficiency in Microsoft Office applications
  • High level of numeracy and accuracy, with an eye for detail
  • Excellent oral and written communication skills
  • Confident, clear and respectful communication skills, especially communication by phone
  • Understanding of customer service principles and donor perspectives
  • Proven organisational and coordination skills and the ability to prioritise tasks
